IT Committee – Role and Responsibilities
Purpose:
The Information Technology (IT) Committee of CATCA is established to plan, manage, and support all technology-related systems, infrastructure, and digital initiatives that enable the organization’s mission, operations, and communications.
1. Objectives
The IT Committee aims to:
- Support CATCA’s operational and ministry goals through reliable and secure technology systems.
- Ensure effective communication and collaboration across committees through digital tools.
- Oversee the implementation, maintenance, and improvement of CATCA’s technology infrastructure, including websites, databases, and online platforms.
- Safeguard data privacy, cybersecurity, and digital integrity across all CATCA systems.
2. Roles and Responsibilities
A. IT Committee Chairperson
- Lead and coordinate the committee’s meetings, plans, and projects.
- Report IT updates, issues, and needs to the CATCA Executive Committee.
- Oversee all digital initiatives and ensure alignment with CATCA’s goals.
- Approve access control, security measures, and technology purchases.
B. System Administration & Infrastructure
- Manage CATCA’s websites, hosting services, and email systems.
- Maintain hardware and software used for CATCA operations and events.
- Ensure regular backups, updates, and maintenance of IT systems.
- Monitor website uptime, performance, and security compliance.
C. Data Management & Security
- Protect sensitive information, including member data, financial information, and event registrations.
- Ensure compliance with privacy laws and CATCA’s data policies.
- Implement security best practices (password policies, encryption, restricted access).
- Conduct periodic audits of data systems and access permissions.
D. Digital Media & Online Presence
- Support the Media and Communications Committee with website updates, newsletters, and social media integrations.
- Manage CATCA domains, digital branding elements, and online forms.
- Ensure online donation and ticketing systems are secure and user-friendly.
E. Technical Support
- Provide IT assistance for CATCA events (virtual or in-person).
- Support committees in adopting digital tools (Google Workspace, databases, etc.).
- Troubleshoot technology issues and ensure smooth digital operations.
F. Innovation & Planning
- Research and recommend new technologies that improve efficiency or engagement.
- Develop long-term IT strategy aligned with CATCA’s mission.
- Maintain documentation of systems, passwords, and configuration details in secure storage.
3. Committee Membership
- Members should possess technical expertise or interest in IT, data management, or digital communications.
- The committee may include a Chairperson, Web Administrator, Data Manager, and Technical Support Volunteers.
- The committee reports to the Executive Committee on a quarterly basis or as needed.
4. Meeting and Reporting
- The IT Committee shall meet at least quarterly, or more frequently as projects require.
- The Chairperson shall prepare a brief report of ongoing and upcoming IT initiatives for Executive Committee meetings.
5. Confidentiality
Unauthorized access, sharing, or misuse of CATCA digital assets will result in disciplinary review.
All IT Committee members must handle data and system credentials with strict confidentiality.
